• When you contact FaxSalad's support team;
• When you sign up for a FaxSalad account and use our products and services.

What data do we collect on our website

When you visit our website, make a request for information about FaxSalad or our services, or contact FaxSalad's support team, we collect information automatically using cookies, and through webforms where you type in your in your information. We collect this information to both provide you with requested information or support, and to improve user experience on our pages.

Information you share: In some places on FaxSalad's public facing websites, you can fill out web forms to contact our support team and requests further information in regards to FaxSalad and our service. We ask for all information necessary to respond to your request and may ask for further information to help us understand you better as a customer like your current faxing needs and solution, your company name, or your role at your company. If you sign up to receive ongoing marketing communications from FaxSalad, like a newsletter, you can always choose to opt-out of further communications through a preferences page which will be linked from any marketing email you receive from FaxSalad. Or, you can contact the FaxSalad support team to communicate your choice to opt-out.

Information we automatically collect: When you visit FaxSalad websites, we and our service providers acting on our behalf automatically collect certain information using tracking technologies like cookies and similar technologies. We use this information to understand how visitors to our websites are using them and which pages and features of the websites are most popular. This helps us understand how we can improve the user experience of our websites.

What data do we collect on our fax portal

When you sign up for FaxSalad, we ask for certain information like your contact details and billing information so we can communicate with you and so you can pay for our service.

Information you share: When you sign up for a FaxSalad account, you'll be asked to give us your name, email, country, time zone, and to create a password. We collect this information so we know who you are, we can communicate with you about your account, we can determine the currency for your account, and we can recognize you when you communicate with us through the account portal or otherwise.

We also use your email address to send you information about other FaxSalad products, services or events in which we think you may be interested. You can opt out of further marketing communications through your marketing preferences page linked from any marketing email you receive from FaxSalad. Or, you can contact the FaxSalad support team to communicate your choice to opt-out.

When you add a payment method, we'll ask you to provide our payment processor with your payment method information like a credit card. Our payment processor, acting on our behalf, gathers this so we can bill you for your use of our products and services.

When you submit a request to port your fax number to FaxSalad, we will ask you to complete an application form providing details about your company and your account details with your existing fax providers. We'll use this information for the purpose for which it was gathered from you.

How long do we store data

FaxSalad will store your data for as long as needed to provide you with our services and to operate our business. If you ask FaxSalad to delete specific personal information, we will honour this request unless deleting that information prevents us from carrying out necessary business functions, like billing for our service or complying with required audits.

This is an overview of how long we hold on to your personal and account data in a form that can be used to identify you, unless there is a specific need or obligation to retain your information longer:

• Certain customer information stored in system(s) is generally stored up to 7 years following closure of your account. Invoice records, including their digital equivalent, may be retained by FaxSalad for long periods for accounting, tax and audit purposes.
• Your communications with FaxSalad's support team may be retained for up to 5 years after your account is closed.
• Within 60 days following closure of your account, all other personal information will be deleted or transformed in such a way that it can no longer be used to identify you.

How can I manage my data

You can manage your personal data through the FaxSalad portal by correcting or deleting information. Any other requests about your data that you can not make through the portal, you can request by emailing support@faxsalad.com or contacting FaxSalad support.

To request the closure or deletion of your FaxSalad account, you can email us at support@faxsalad.com or contact FaxSalad support. Closure and/or deletion of your FaxSalad account will result in you permanently losing access to your account and data in the account.

You can choose to opt-out of promotional communications at any time through your marketing preferences page linked from any marketing email you receive from FaxSalad. Or, you can contact the FaxSalad support team to communicate your choice to opt-out. Please note that even if you opt out of promotional communications, we may still send you non promotional messages relating to things like updates to our terms of service or privacy policy, security alerts, and other notices relating to your access to or use of our service.

Your contacts and end user's personal information

Information about people you communicate with and your end users shows up on FaxSalad's platform in a few different ways:

• Fax numbers for contacts you send to and receive faxes from, will show up in our system.
• The personal information of your end users may be contained in the content of email communications you or your end users send when using FaxSalad's email2fax service.

Information gained in the first point may be used for billing and in the context of troubleshooting and detecting problems with our service. Personal information gained through a email2fax service is discarded and will not be retained for any purpose other than to identify and provide system notifications to the sender via use of their email address.

What usage data do we collect and how do we use it

Usage data relates to data collected when using the FaxSalad service for sending and receiving faxes; and managing fax numbers. We use this data to provide services to you and carry out necessary functions of our business. We do not sell any of this data or share the data with any third parties for those third parties' own business interests.

When and why we share your personal information

We do not sell or allow your personal information and data to be used by third parties for their own marketing purposes, unless you ask us to do this or give us your consent to do this.

Below are the different scenarios under which we may share your data with third parties.

• Upstream carriers and providers. FaxSalad provides its faxing service through technology and networks providers by upstream carriers. Therefore, fax related data is shared with and received from these carriers as necessary to send and receive fax communications. How these carriers handle this data is generally determined by the carriers own policies and local regulations.
• We may share customer data with processors who assist in providing the FaxSalad services, like our infrastructure provider.
• We may share data with third parties if the data has been de-identified so it cannot be used to identify you or related parties.
• We may also disclose your personal information to a third party if (i) we reasonably believe that disclosure is compelled by applicable law, regulation, legal process or a government request, (ii) to enforce our agreements and policies, (iii) to protect the security or integrity of our services and products, (iv) to protect ourselves, our other customers, or the public from harm or illegal activities, or (v) to respond to an emergency which we believe in good faith requires us to disclose data to assist in preventing a death or serious bodily injury. If FaxSalad is required by law to disclose any personal information, we will notify you of the disclosure requirement, unless prohibited by law.

Automated decision making

FaxSalad may use automated decision making based on account activity to help identify and suspend accounts sending spam or engaged in other abusive or fraudulent activity. Holders of accounts suspended under these circumstances are notified of the suspension and given an opportunity to request human review of the suspension decision.

How we secure personal information

We use appropriate security measures to protect the security of your personal information both online and offline. These measures vary based on the sensitivity of the personal information we collect, process and store and the current state of technology.

Please note that no services is completely secure. While we strive to protect your data, we cannot guarantee that unauthorized access, hacking, data loss or a breach will never occur.
